Edit a product and its short code

On this page

When to use this: fixing product details and setting a short code your counter can use to find a medicine quickly, such as "PCM".

Steps

  1. Products → find the product → edit. Fill in the Short Code field and save the product. Use a code that your billing staff recognise. The form has one Short Code field; it does not offer an editor for a list of aliases.

  2. Check it at the counter. Go to Billing, press F1 and type the name or short code. The product comes up with its salt, manufacturer, schedule, MRP and the stock you hold.

In the picture, 1 is the search box, 2 is the match — name on top, then salt | manufacturer, which is how you tell two similar brands apart — and 3 is the Sch H1 tag, the MRP and the stock this counter has (Qty: 7 strips). The amber ⚠ on the left of the row means the product is Schedule H or H1; the red icon on the right is Mark shortage, which logs the product for procurement.

  3. No stock yet? A product you have just created has none until goods are received. Go to Purchases → Receive Goods (GRN), fill in the mandatory fields, click Add to put the line on the note, then Save & Update Stock.

1 is the Supplier, 2 is the Supplier Invoice block copied from the paper, 3 is the Add Item row — product, batch, expiry, HSN, GST %, quantity and rate — and 4 is Save & Update Stock, which is the click that actually moves stock. Save as Draft next to it does not. Full detail: PUR-03.

  4. Bill it. Search again and press Enter — the product lands on the bill with its batch and expiry picked for you.

1 is the prescription-only warning the H1 schedule triggers (→ BILL-08), 2 is the line with its batch ALP025T61 and expiry 10/2027 chosen automatically (→ BILL-03), and 3 is the total.

Good to know

  • Short codes for fast movers (e.g. pcm) are the single best speed upgrade for billing staff — add them for your top 50 sellers.
  • Search matches the salt too, not just the name, so a customer asking for the composition finds the brand (→ BILL-02).
  • A product with no stock still appears in the search, marked out of stock, so you can see you stock it and mark a shortage rather than telling the customer you do not.
