Deactivate (retire) a product

On this page

When to use this: a product you'll never sell again (discontinued brand). It disappears from billing search but its history stays intact.

Steps

  1. Products → find the product → the archive icon on its row. BitMed asks Archive product? and tells you what will happen: the product is hidden from billing and search, while existing bills, batches and stock history are preserved.

  2. Find it again with the Include archived button at the top of the Products screen. An archived product shows with its name struck through and an Archived badge. The same row icon now says Restore product.

In the picture, 1 is Include archived, 2 is the 1 Archived count, 3 is 1 still holds stock, 4 is the warning that count triggers, 5 is the archived row — struck-through name, Archived badge, and 20 units · 2 stores — and 6 is the icon that restores it.

Archiving a product that still has stock

BitMed lets you do it, but not quietly.

  • The confirmation changes to Archive product with stock? with a red confirm button.
  • The dialog spells out all four consequences: the product leaves billing, leaves search, leaves Stock Overview and stops syncing to terminals.
  • Afterwards the Products screen carries a still holds stock count and a standing warning: "Archived stock is invisible to billing, to search and to Stock Overview — restore the product, or write the stock off."
  • If any of that stock is Schedule H / H1 / X, the warning says so explicitly, because the drug register expects it to be accounted for.

So archiving is not a way to make leftover stock go away — it makes it invisible while still being yours. Clear the stock first, or write it off afterwards.

Good to know

  • Never delete to "clean up" — archiving is the safe path; history and audits need the record.
  • Product still has stock? Sell it out or return it to the supplier first (→ INV-07).
  • Both actions affect every store in your organisation. Archive on the Products screen and Deactivate in the Org Product Master hide the product across all stores. Switching to another store does not make it available again.
  • Stock valuation and expiry keep counting archived units, even though billing, search and Stock Overview no longer show them. That is exactly why the warning asks you to write the stock off rather than leave it parked.
