Audit Trail report

On this page

When to use this: something changed and you want to know who did it and when — a stock adjustment, a voided bill, a write-off, or a purchase-order change.

Steps

  1. Open Reports → Audit Trail. Click Reports in the left menu, then click Audit Trail from the list.

  2. Filter by area. Use the dropdown (2) to pick Bills, Credit Notes, Goods Receipts, Purchase Orders, Stock, or Suppliers, or leave it on All. The second dropdown beside it sets how many rows a page holds.

  3. Read the table. Each row shows: Date & Time, User, Module, Action, Entity ID, and a short Details preview. Click any of the Date & Time, User, Module, or Action column headings (5) to sort by that column — the arrow shows which one is sorting.

The Details column is the raw record, so you can often answer the question without opening anything: {"total": 34.0, "bill_number": "PUN1-C-26-00005"} on a bill, {"to_status": "approved", "from_status": "requested"} on a stock transfer.

6 is a copy button on every Entity ID — use it when you need to quote the exact record to support or paste it into another screen.

  4. See the full change. Click the info icon at the end of a row (7) to open the detail dialog.

    • 1 — the raw action and table name, e.g. po_create — purchase_orders. This is deliberately the database wording, not the friendly label, so it matches what an auditor or support will ask for.
    • 2 — the Time and the full Entity id, with its own copy button (the table truncates the id; here you get all of it).
    • 3 — the change itself. A create shows New Value; an edit shows the old and new values so you can see exactly what moved.
    • 4 — Close.
  5. Page through history. The range chip (3) shows where you are — 1–95 — and the arrows beside it move between pages.

  6. Refresh (3) to check for new entries.

Export it

Export CSV and Export Excel (4) save the filtered list as it stands — filter first, then export, and you hand the auditor exactly the rows they asked for.

Export PDF is greyed out here by design: PDF is offered where a report is a statement a person reads or files, and the audit trail is a working log. Hover the button and BitMed tells you why it is unavailable.

Good to know

  • This is a read-only log — nothing here can be edited or deleted, so it's safe to hand to an auditor.
  • It records sign-ins too. The Auth module logs Login Email entries, so the trail answers "who was even on the system at that time", not only "who changed this record".
