When to use this: Use this guide to add pharmacy staff, control what each role is allowed to do, issue PINs, and deactivate former employees.
Opening User Management
- Click Settings (gear icon at the bottom of the left sidebar).
- Select People & Access → Manage Users & Roles.
- Active / Inactive tabs at the top switch between current and deactivated staff.
- The table shows each user's Pcode, Role, and which stores they can access.
Adding a staff member
- Click Add User (top right).
- Fill in Full Name, Email, Phone (optional), and pick a Role. A Pcode (login code) is auto-suggested from the name — edit it if you'd rather use your own.
- Tick which stores this person should have access to. Picking the Pharmacist role also asks for their License Number.
- Click Create User.
BitMed shows the Pcode and a one-time temporary PIN in a dialog — copy it and hand both to the new staff member. This is the only time the PIN is ever shown; they use it to sign in and must set their own PIN on first login.
Managing an existing staff member
Each row has three actions:
- Edit (pencil): change name, phone, Pcode, role, or store access.
- Reset PIN: issues a new one-time temporary PIN when someone forgets theirs — same rule, it's shown once.
- Deactivate / Reactivate (block icon): instantly revoke or restore a user's access without deleting their history.
Manage Roles (Role & Permission Editor)
Click Manage Roles (next to Add User) to open the permission matrix — one column per role, one row per permission.
- Tick a box to grant that role a permission: Store/Organization Dashboard, Billing/POS, Sales Returns, Void Bills, Write Off Customer Credit, Discount (Above Threshold), Reports, Settings, Inventory Adjustment, User Management, Stock Transfer, Purchase Orders, Supplier Claims, Labels & Barcode.
- The built-in roles (Cashier, Inventory Clerk, Manager, Owner, Pharmacist, Viewer) come with sensible defaults, but every checkbox is editable.
- Click + New Role to create a custom role from scratch.
- Click Save All Changes when you're done.
